Operations Associate

Job Summary

We are seeking a proactive, highly organized, and detail-oriented individual to join our team as an Operations Associate. This dynamic hybrid role provides high-level administrative support to our executive team while managing essential functions across human resources, accounting and office management as designated by our VP of Finance and Administration. The ideal candidate can balance competing priorities, handle confidential information with discretion, and thrive in a fast-paced environment.

Key Responsibilities

Junior Accounting Support (approx. 40%)

  • Assist with accounts payable including entering invoices and recording payments utilizing multiple systems (i.e., QuickBooks, Costpoint, Bill.com).
  • Reconcile bank and credit card statements as well as additional ad hoc reconciliations and accounting work, ensuring accuracy and compliance with financial policies.
  • Maintain the confidentiality of all financial data and records.

Executive Support & Administration (approx. 30%)

  • Manage the calendar, schedule meetings, and coordinate travel arrangements and itineraries for members of our executive staff.
  • Ad Hoc requests as required in support of our executive staff

Human Resources Support (approx. 30%)

  • Support our HR team with the full employee lifecycle, including onboarding and offboarding processes.
  • Play a key role to plan and coordinate company events, meetings, and team-building activities.

Qualifications

  • Experience: A minimum of 2-3 years of experience in an administrative support role.
  • Skills:
    • Excellent verbal and written communication skills.
    • Strong organizational skills and exceptional attention to detail.
    • Ability to act with integrity and maintain strict confidentiality across all functional areas.
    • Proficiency in Google Workspace or Microsoft Office Suite (Word, Excel, Outlook).
    • Strong analytical and problem-solving abilities, with the capacity to multitask and manage competing priorities effectively.
    • A proactive, self-directed work ethic and a customer service orientation.

Preferred

  • Experience:Experience with an HRIS and/or accounting software (i.e., ADP, Rippling, QuickBooks, Costpoint)
  • Education: Bachelor's Degree in Business Administration, Accounting, Finance or a related field
